Instructions for Moderators

Thank you for serving as a moderator/chair at the upcoming 2026 CAES/SCAÉ Annual Meeting to be held in Ottawa, ON, on June 3-5, 2026.

  • Each session is 90 minutes long and includes up to fiveEmails have been sent out to you including contact information of presenters in your session.
  • Selected paper sessions typically include up to five presentations; each presenter will have 15 minutes to present, followed by 3 minutes for discussion. For lightning sessions, which may include up to seven papers, speakers will have 10 minutes for their presentations and 2 minutes for questions. In sessions with fewer papers, you may consider allowing additional time for questions and discussion.
  • Each room will be equipped with an LCD projector and screen. Laptops will NOT be provided in session rooms. Thus, we would like to ask you, as a moderator, to please bring your laptop to the session room. Each room will be provided with an HDMI cable to connect to the projector. Please bring an adapter for an HDMI cable if your laptop does not have an HDMI port.
  • As the conference approaches, please reach out to the presenters in your session to coordinate with them and ensure they send their slide decks in advance of the session. This will allow you to have all presentations downloaded on your laptop before the session begins.
  • An important responsibility of the moderator is to keep the session on schedule. Signs indicating 5, 3, and 1 minute(s) remaining will be provided in each room to help you signal the time to presenters.
  • Please also encourage audience participation to foster lively and engaging discussion after each presentation, and be prepared to ask questions if needed.
  • Please plan to arrive at the room 20 minutes ahead of the start time. Please also coordinate with the presenters to make sure that they arrive 15 minutes prior to the start time and that slide decks are loaded on your laptop before the session starts. Presenters are instructed to bring their slide decks in a flash drive, but you may also allow them to email their slide decks to you ahead of time.
